The organization is looking for a highly organized, proactive, and resourceful Executive Admin / Chief of Staff to join its growing team. This role will report directly to the CEO and will play a crucial part in shaping the future of the company.
Key Responsibilities
- Provide high-level administrative support to the CEO and senior leadership team, including calendar management, scheduling meetings and appointments, and coordinating travel arrangements.
- Manage and prioritize the CEO's inbox, ensuring that all correspondence is handled in a timely and efficient manner.
- Prepare meeting agendas, take minutes, and follow up on action items as necessary.
- Act as the liaison between the CEO and internal/external stakeholders, ensuring clear and effective communication.
- Assist in the preparation of presentations, reports, and other materials for internal and external meetings.
- Help to plan and execute company events, including offsites, team-building activities, and board meetings.
- Oversee office operations and facilities management, ensuring a productive and enjoyable work environment for all team members.
- Assist with the onboarding of new employees, providing logistical support and helping to coordinate orientation and training.
- Collaborate with various departments to optimize operational efficiency and drive strategic initiatives.
- Support the CEO in ad-hoc projects and tasks as needed.
Required Qualifications
- A minimum of 5 years of experience in executive support, office management, or a similar role, preferably within a startup environment.
- Exceptional organizational and time-management skills, with the ability to handle multiple tasks and competing priorities.
- Excellent written and verbal communication skills, with the ability to interact professionally with a diverse group of stakeholders.
- A proactive and resourceful approach to problem-solving, with a strong attention to detail.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
- A high level of discretion and the ability to handle sensitive information with confidentiality.
- A bachelor's degree in Business Administration or a related field is preferred.
- Experience in the financial technology industry is a plus.
- Experience in marketing is a plus
