About The Role We are seeking a highly organized and proactive Executive Assistant to support our CEO. This vital role involves managing complex schedules, coordinating meetings across multiple time zones, preparing presentation materials, and handling confidential correspondence. The Executive Assistant will serve as a key operational partner, ensuring the CEO’s day-to-day activities run smoothly and efficiently. The successful candidate will demonstrate excellent communication skills, strong attention to detail, and the ability to prioritize competing demands effectively. This position offers an exciting opportunity to be at the heart of a dynamic organization dedicated to innovation and creativity, with flexibility for remote work within specified markets. Qualifications

  • Minimum of 6 years of experience in an administrative assistant role, with at least 2 years supporting executive leadership.
  • Proficiency in Google Suite (Docs, Sheets, Gmail, Calendar) and presentation tools such as Google Slides and PowerPoint.
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills.
  • Experience coordinating schedules and logistics across multiple time zones and locations.
  • Ability to exercise sound judgment and discretion with sensitive information.
  • Proactive mindset with excellent problem-solving skills.
  • Experience managing travel arrangements and expense reports using tools like Navan.
  • Bachelor’s degree is preferred but not mandatory.
  • Passion for Meow Wolf’s mission and values.

Responsibilities

  • Manage and prioritize the CEO’s calendar, including scheduling 1:1s, team meetings, investor calls, and strategic sessions.
  • Coordinate and prepare agendas, pre-reads, and briefing materials for meetings to ensure the CEO is well-informed.
  • Attend key meetings to capture decisions, action items, and follow-up tasks, distributing notes with clear ownership and deadlines.
  • Track and monitor open action items from leadership meetings and ensure timely completion.
  • Organize logistics for quarterly and annual board meetings, including travel, venue arrangements, and materials preparation.
  • Assist in assembling and distributing board decks and pre-read packages within scheduled timelines.
  • Liaise with board members’ offices for scheduling and correspondence as needed.
  • Research and compile background information on relevant stakeholders, projects, and topics for the CEO’s review.
  • Draft and manage correspondence, including emails, memos, and follow-up communications on behalf of the CEO.
  • Coordinate all aspects of CEO travel, including approvals, itineraries, flights, accommodations, and ground transportation.
  • Prepare and submit expense reports promptly and assist with SLT expense approvals.
  • Create and refine presentations for internal meetings, investor updates, and external engagements.
  • Maintain organized files and a system for tracking initiatives, decisions, and key documents.
  • Support the day-to-day operations of the CEO’s office, including welcoming visitors and external partners.
  • Exercise confidentiality and exercise discretion in handling sensitive information across divisions and with external contacts.
