About The Role We are seeking a highly organized and proactive Executive Assistant to support our Growth Lead and the broader Growth team. This is a dynamic, fast-paced role that requires a detail-oriented individual who thrives in a high-trust environment and takes ownership of operational excellence. As the operational backbone of the team, you will manage complex calendars, coordinate across multiple time zones, handle travel logistics, and support day-to-day administrative tasks. Your role will be pivotal in ensuring seamless communication and efficient workflows within a rapidly expanding AI company. You will act as a trusted partner to senior leadership, anticipating needs, managing sensitive information with discretion, and building scalable systems and processes. Your proactive approach will help optimize team productivity and foster a smooth operational environment, enabling the Growth team to focus on strategic initiatives and growth opportunities. Qualifications
- Proven experience in executive assistant roles supporting senior leaders in fast-paced environments
- Exceptional organizational skills with the ability to manage multiple priorities and shifting timelines
- Excellent written and verbal communication skills
- High emotional intelligence and discretion in handling sensitive information
- Proactive, forward-thinking mindset with the ability to anticipate needs and implement improvements
- Experience supporting team-wide operational functions and processes
- Fluency with AI tools such as ChatGPT or Claude to enhance productivity
- Ability to operate effectively across different time zones and geographical locations
- Comfortable working remotely or from company offices in Bangalore, Dublin, London, New York, San Francisco, Tokyo, or Warsaw
Responsibilities
- Manage complex and dynamic calendars for the Growth Lead, coordinating meetings and commitments efficiently
- Support travel arrangements, including booking flights, accommodations, ground transportation, and preparing itineraries across multiple regions
- Handle confidential and sensitive information with professionalism and discretion
- Coordinate with internal teams and external stakeholders, including senior executives, partners, and vendors
- Build and maintain scalable systems, processes, and workflows to support team operations
- Act as a primary point of contact for the Growth team, managing daily administrative needs and logistical support
- Proactively identify potential conflicts, follow up on outstanding items, and ensure stakeholder alignment
- Assist in organizing team meetings, offsites, and social events, including logistical planning and coordination
- Develop and streamline operational documents, vendor contracts, and office procedures to improve efficiency
