About The Role We are seeking a highly experienced and strategic Senior Executive Assistant to support our Chief Technology Officer (CTO). In this role, you will provide high-level administrative and operational support, enabling the CTO to focus on driving technology strategy, product innovation, and team execution across the organization. You will play a key role in optimizing the CTO’s time, facilitating communication across technical and cross-functional teams, and ensuring seamless day-to-day operations. As a trusted partner to the CTO, you’ll act as a gatekeeper, thought partner, and problem-solver—handling complex and confidential matters with discretion and sound judgment. The ideal candidate is proactive, highly organized, and comfortable working in a dynamic, fast-paced environment with minimal oversight. You Will
- Manage and optimize the CTO’s complex and dynamic calendar—balancing competing priorities, resolving scheduling conflicts, and coordinating seamlessly across time zones and with other Executive Assistants.
- Coordinate logistics and preparation for internal and external meetings, including agenda development, briefing materials, room bookings, catering, and follow-up actions.
- Serve as a key liaison between the CTO and teams across engineering, product, design, and other cross-functional leadership groups.
- Track and help drive progress on key initiatives, ensuring timely follow-ups, clear ownership, and aligned timelines.
- Handle sensitive and confidential information with discretion and professionalism, representing the CTO with poise in all internal and external communications.
- Arrange and manage domestic and international travel, ensuring all elements—from flights to ground transportation—run smoothly and efficiently.
- Prepare, process, and monitor expense reports in compliance with company travel and expense policies, ensuring accuracy and timeliness.
- Support the hiring and onboarding process for new team members within the CTO’s org, ensuring a smooth and well-equipped start. Organize logistics for offsites, leadership summits, and special projects, partnering with internal events and operations teams as needed.
- Identify and implement opportunities to streamline workflows, improve communication flow, and increase the CTO’s productivity.
- Act as a culture ambassador and valued member of the executive support team—fostering a collaborative, high-performing, and inclusive environment. Partner closely with other Executive Assistants to share best practices, provide backup support, and uphold consistent standards across the organization.
- Support occasional travel needs (up to 15%) to assist with in-person meetings or events.
You Have
- 10+ years of experience as an Executive Assistant, with at least 5 years supporting C-level executives.
- Extensive experience managing executive-level calendars, including across time zones and with international travel.
- Proficiency in Microsoft Office and G-suite products.
- Impeccable attention to detail and strong organizational, communication, and problem-solving skills.
- A proactive, team-oriented mindset and the ability to operate independently while managing multiple tasks and deadlines.
- Strong interpersonal skills with the ability to build relationships and collaborate with peers across all levels of the organization.
- A calm and composed demeanor with the flexibility to pivot in a fast-changing environment.
- Initiative in evaluating and improving processes, systems, and operational workflows.
- A strong internal network-building capability and the ability to quickly learn and navigate organizational structures.
