We are looking for a meticulous and reliable Payroll Specialist to join our Payroll Dept team. In this role, you will assist the Payroll Manager with the timely and accurate processing of payroll for all employees. Your responsibilities will include updating payroll records, reviewing time-sheets, processing deductions, and ensuring compliance with federal, state, and local regulations. You will also handle employee payroll inquiries, resolve discrepancies, and support various payroll functions to ensure a smooth and efficient payroll process. This role requires strong attention to detail, confidentiality, and the ability to collaborate effectively with the payroll team and other departments with the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities:

Payroll Processing:

- Assist in the processing of bi-weekly/monthly payroll for employees, ensuring all compensation, deductions, and adjustments are accurate and timely.

- Ensure payroll records are up to date and reflect any changes, such as salary adjustments, bonuses, terminations, and new hires.

Data Management & Entry:

- Enter and update employee information related to payroll, including hours worked, leave balances, tax withholding's and other deductions.

- Verify and reconcile time-sheets and other payroll-related data for accuracy.

Issue Resolution:

- Respond to employee inquiries regarding payroll issues, including pay discrepancies, deductions, and other payroll-related questions.

- Investigate and resolve any payroll discrepancies or issues in a timely manner.

Tax & Deduction Management:

- Assist in the calculation and filing of payroll taxes, including federal, state, and local taxes.

Audit & Reconciliation:

- Assist with internal audits and external audits as needed.

- Reconcile payroll data with general ledger entries and other financial reports.

Support Payroll Manager:

- Provide administrative support to the Payroll Manager in all payroll-related activities.

- Assist with the preparation of reports and analysis related to payroll.

Qualifications:

Education:

  • High school diploma or equivalent required. Associate or bachelor’s degree in accounting, Finance or a related field preferred.

Experience:

  • 2+ years of experience in payroll processing or a related role.
  • Familiarity with payroll system ADP Workforce Now is preferred.
  • Knowledge of payroll regulations, tax laws, and best practices is a plus.

Skills:

  • Strong attention to detail and accuracy
  • Excellent organizational and time-management abilities.
  • Strong written and verbal communication skills to interact with employees and management.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficient in Microsoft Office Suite, particularly Excel.

Certifications (Optional):

  • Payroll-related certifications is a plus but not required.

Working Conditions:

  • Remote full-time position
  • Occasional overtime may be required during peak payroll periods or year-end processing.

Compensation & Benefits:Starting salary range: $50,000-60,000 annually, commensurate with experience and qualifications.

Please note that salaries are determined based on several factors, including experience, skill set, and internal equity.
