Practice Administrator

Location: Remote – Philippines

To support our next phase of growth, we are seeking a Practice Administrator who will be the backbone of our operations and ensure our practice runs smoothly day to day.

The Role

As the Practice Administrator, you will be responsible for managing the operational heartbeat of the firm. This is a role for someone who thrives on organisation, structure, and efficiency. You will handle client communications, admin tasks, workflow coordination, and ensure deadlines are met. Your work will allow our accountants and advisors to focus on client delivery.

Key Responsibilities

·      Manage client email inboxes and correspondence, escalating to managers when needed.

·      Proactively follow up with clients to collect documents, timesheets, and other required information.

·      Support onboarding of new clients, including agreements, setup in practice systems, and file management.

·      Maintain and update practice management tools (Karbon, Xero, Google Drive, Slack).

·      Schedule meetings and manage calendars across the delivery and leadership teams.

·      Track compliance and project deadlines to ensure tasks are completed on time.

·      Assist with process documentation and maintain SOPs.

·      Prepare simple reports on workload, deadlines, and task progress.

·      Support continuous improvement initiatives across admin and operations.

Skills & Attributes

·      Highly organised with excellent attention to detail.

·      Strong written and spoken English.

·      Tech-savvy, with confidence in cloud-based tools.

·      Proactive and resourceful, able to work independently while being a great team collaborator.

·      Comfortable in a fast-paced professional services environment.

Requirements

·      5+ years of experience in administration, operations, or client service.

·      Previous experience in accounting, finance, or consulting firms is a plus.

·      Availability to work full-time in Australian business hours (AEST).

·      Reliable internet connection and professional home office setup.
