Responsibilities The Senior Executive Assistant reports directly to the Associate Vice President of Strategic Operations and Grants Strategy and plays a pivotal role as a strategic partner to the Ascension Foundation. The Sr. Executive Assistant supports the four executive leaders of the Ascension Foundation and provides comprehensive support including acquiring a nuanced understanding of all of our strategic priorities and helping to maximize our time/attention/ schedules for greatest team impact. This role manages foundation priorities, communications, and workflows, while coordinating board and leadership activities with discretion and precision. In addition to overseeing calendars, meetings, and travel logistics, the Sr. Executive Assistant leads the design and improvement of administrative systems, policies, and processes to enhance efficiency across the foundation. This role builds trusting relationships between the foundation, its board members, donors, and external partners. The ideal candidate exercises sound judgment, adapts seamlessly in a fast-paced environment, and contributes meaningfully to advancing the foundation’s strategic priorities and goals. Core Responsibilities
- Serve as the primary liaison for internal and external stakeholders on matters related to the executive team, managing communications, priorities, and workflows with the judgement of a chief of staff
- Coordinate board and executive communications, ensuring compliance with corporate policies and facilitating effective information flow between executives, board members, and key partners.
- Manage executive calendars, travel logistics for executives, board members, and donors, meeting preparation, and follow-up, including agenda design, material development, hybrid/virtual logistics, note-taking, and expense reporting.
- Provide high-level support for executive presentations, strategic initiatives, special projects, event planning, and project tracking.
- Draft, review, and edit correspondence, memos, reports, and standard communication templates, ensuring accuracy and consistency.
- Design, implement, and improve administrative processes, systems, and policies to enhance efficiency, ensure compliance, and align administrative strategies with organizational goals.
- Oversee office operations, facilities, equipment, vendor relationships, and procurement activities to ensure a safe, functional, and well-supported environment.
- Maintain accurate records and file management systems (physical and digital), ensuring proper archival and compliance with retention policies.
- Support donor and grantee relations by fielding phone calls and sensitive correspondence, acknowledgements, and grant-related administrative tasks.
- Exercise sound judgment in prioritizing tasks, resolving issues independently, and maintaining strict confidentiality with sensitive information.
- Build and maintain trusted relationships with executives, staff, board members, and external partners to foster a collaborative, service-oriented environment.
- Perform additional duties and projects as assigned.
Requirements Education:
- High School diploma equivalency OR 1 year of applicable cumulative job specific experience required.
- Note: Required professional licensure/certification can be used in lieu of education OR experience,if applicable.
Additional Preferences
- Bachelor’s degree strongly preferred.
- 5–7 years of relevant experience supporting senior executives, ideally in both high paced corporate environments as well as nonprofit or mission-driven environments.
- Strong written and verbal communication skills; excellent proofreading and editing capabilities.
- Proficiency in Google Workspace and virtual collaboration tools; familiarity with travel and expense systems (e.g., CWT).
- Highly organized, detail-oriented, and capable of managing multiple priorities under tight deadlines.
- Demonstrated emotional intelligence, adaptability, and comfort with ambiguity.
- Proven ability to take initiative, synthesize complex information, and develop solutions independently.
- Commitment to the mission of Ascension and the Ascension Foundation, with a service-minded and equity-driven mindset.
Key Attributes Excellent written and verbal communication skills, adept with digital tools (especially calendar/email management, video conferencing, virtual meeting platform tools and cloud collaboration platforms like Google Workspace. Strong executive support capabilities with a track record of juggling multiple priorities in a complex, fast-paced environment, while meeting deadlines; ability to synthesize complex information into clear actions, collaborative spirit and the ability to work effectively across teams; proficiency in digital organizing tools including Google Workspace; passion for equity, community impact, comfortable with both strategy and creativity. Strong proofreading skill is required. Self-directed and resourceful, with the ability to anticipate needs and take proactive action. Strong analytical and problem-solving skills; able to assess office procedures and recommend improvements.
