Job Title: Patient Enrollment Specialist:Location: Remote – Anywhere in Australia

Coverage: Australia & New Zealand

Contract: 3–5 months (Full-Time) – Freelance or Fixed-Term Contract

Experience Level: 2–5 years

Overview:

We are supporting a leading organization in the clinical research sector seeking a Patient Enrollment Specialist to help accelerate recruitment efforts for Asthma clinical trials across Australia and New Zealand. The role involves working closely with site teams, pre-screening patients, supporting recruitment strategies, and acting as an extension of the clinical sites across approximately 14 sites.

This role is ideal for someone with a background in clinical research coordination, CRA-level experience, or patient recruitment, who is confident working independently and making decisions in a fast-paced environment. Experience with pediatric and adolescent populations is highly desirable, as a key focus of the study is increasing enrollment for patients 17 and under.

Key Responsibilities:Site Support & Recruitment Coordination

  • Serve as an extension of site teams to drive recruitment and retention efforts.
  • Develop strong working relationships with site staff, investigators, and internal project teams.
  • Host site Kick-Off Calls, maintain regular check-ins, and provide ongoing support to ensure recruitment goals are met.
  • Track patient leads, follow up with sites, and maintain accurate status updates.
  • Support sites in identifying and overcoming recruitment challenges.

Patient Enrollment & Pre-Screening

  • Run digital ads and manage incoming leads.
  • Pre-qualify patients based on online screening questions and forward eligible candidates to sites.
  • Conduct phone and email outreach to prescreen candidates across Australia and New Zealand.
  • Perform high-volume outreach (80–120 calls/day) as required.
  • Screen patients for eligibility using protocol criteria, exclusion factors, and EMR platforms when applicable.
  • Schedule qualified patients for site appointments and maintain accurate recruitment documentation.

Communication, Reporting & Documentation

  • Maintain frequent contact with internal project teams and site personnel.
  • Provide detailed reports on enrollment activity, lead status, and recruitment benchmarks.
  • Prepare and deliver site-specific strategies, Kick-Off presentations, and meeting minutes.
  • Maintain and update patient databases, including tracking study progress and lead disposition.
  • Support referral outreach in local communities around participating sites.

Process & Compliance

  • Ensure adherence to study protocols, IRB-approved procedures, and established guidelines.
  • Identify process improvement opportunities and proactively communicate suggestions.
  • Maintain confidentiality and compliance with all regulatory requirements, including HIPAA-equivalent standards.

Qualifications:Required

  • 2–5 years of experience in patient recruitment, clinical research coordination, site support, or similar.
  • Experience supporting clinical trials, ideally in healthcare, public health, or clinical research environments.
  • Strong communication skills—verbal, written, and interpersonal—with the ability to engage confidently with diverse patient groups, including pediatric/guardian interactions.
  • Ability to work independently, make informed decisions, and manage multiple priorities.
  • Experience working with Salesforce, Microsoft Office, and Google Suite.
  • High attention to detail, strong organizational skills, and a proactive approach.

Preferred

  • Experience with CRAs, CRC roles, or Investigator Site operations.
  • Knowledge of Asthma studies, respiratory conditions, or pediatric/adolescent patient populations.
  • Familiarity with EMR systems and patient chart reviews.
  • Experience with additional tools such as Call Tracking Metrics, NetSuite, or Monday.com.

Additional Requirements

  • Comfortable managing recruitment efforts for up to 14 investigator sites.
  • Ability to attend virtual meetings, webinars, and team check-ins as needed.
  • Outgoing, community-oriented personality with the ability to support local outreach when required.
