STOCKHOLM Platform Administration Assistant*Homebased
The position is to be filled as soon as possible, with a contract duration of two years. At the end of the initial two-year contractual period, there are good prospects for conversion of the contract from a fixed-term to an open-ended employment contract. Employment location will be Homebased.
As STOCKHOLM Platform Administrative Assistant you will contribute to the success of the ESUPS project by supporting the project management team. You will primarily support activities related to the pillars data collection and data analysis of the ESUPS project and will report directly to the Deputy Project Manager.
Working within a project-based structure, you will collaborate with members of the ESUPS team and provide administrative and coordination support. Your role is to help facilitate the day-to-day administrative needs linked to the implementation and use of the STOCKHOLM platform. This includes assisting users with general queries, maintaining records and ensuring data consistency across agencies. Occasional communication with Steering Group members and in-country partners may be required, particularly to schedule meetings, manage documentation, and assist with follow-ups.
Your responsibilities
- Provide remote support during the initial data entry process.
- Facilitate training sessions (online and in-person) for national humanitarian teams and government officials on platform functionalities.
- Support initial user registrations and promote ownership transfer through a cascading approach.
- Deliver technical assistance, addressing user queries and challenges with the STOCKHOLM platform.
- Collaborate with the Communication Officer to encourage regular data updates and highlight their importance for long-term planning and decision-making.
- Develop user-friendly How-to Guides for new platform functionalities.
- Collect and relay user feedback to the Deputy Project Manager and Technical Product Manager to guide platform improvements.
- Ensure data integrity by identifying and resolving duplicates, inaccuracies, and other quality issues.
- Maintain organized records of user and stakeholder interactions, including management of the ESUPS email account.
- Assist the Deputy Project Manager and Project Manager with the organization of major trainings and events.
- Coordinate logistics for on-site visits, including travel arrangements, schedules, and documentation.
Your profile
- Bachelor’s degree in International Relations, Humanitarian Studies, Logistics, Information Management, or a related field (equivalent professional experience considered).
- Familiarity with the STOCKHOLM platform and/or ESUPS project is required.
- 2–3 years of relevant experience in coordination, user support, training, or platform management within a humanitarian or development context.
- Good understanding of the humanitarian sector, including preparedness, inter-agency collaboration, NGOs, UN agencies, and national authorities.
- Experience working with digital platforms or information management systems; prior involvement in user onboarding, training delivery, or remote support is desirable.
- Solid technical skills: proficiency in Microsoft Office (Excel, SharePoint) and comfort with collaboration tools (Zoom, Teams, Google Meet).
- Strong communication and interpersonal skills, with the ability to engage diverse audiences and explain technical concepts clearly.
- Highly organized, detail-oriented, and able to manage multiple priorities while working independently and as part of a team.
- Demonstrated interest in humanitarian logistics, supply chain, and preparedness approaches is an advantage.
- Willingness to travel occasionally for short missions, trainings, or on-site support.
- You recognize the growing value of data in your field and are eager to build your awareness and skills to incorporate data-informed approaches into your work.
- Readiness to receive necessary vaccinations for working in Welthungerhilfe's programme countries
- Fluent in English and Spanish; French is a strong assets.
