Role: Marketing Support Assistant
Location: Remote (based in Warsaw Metropolitan Area) / Supporting Poland/Czech Republic/Slovakia/Hungary/Baltics.
Mission: Responsible for providing comprehensive marketing, medical and administrative support, ensuring compliance with internal processes, and alignment with corporate standards across the relevant markets.
Duties:
- Manage administrative processes for marketing and medical activities (e.g., budget tracking, vendor management, documentation, contracts and approval workflows).
- Maintain marketing and medical documentation, contracts, and activity trackers to ensure audit readiness and compliance with company and industry standards.
- Support event organization, congress participation, field activities organization digital marketing activities and promotional materials.
- Assist in the preparation of presentations, reports, and internal/external communications.
- Organize and coordinate internal and external meetings, events, and teleconferences.
- Manage relationships with external service providers.
- Provide administrative support to the local team, including onboarding coordination for new hires, travel bookings, and document management.
- Support the planning and coordination of team events, training sessions, and corporate meetings.
- Assist with local compliance - ToV disclosure and GDPR reporting, audits, and documentation as needed.
- Handle purchase orders, invoice processing, and budget tracking for expenses.
- Liaise with Finance and Administration department to ensure timely and accurate payments and records.
- Manage the company office including office reception, correspondence and properly storing company documentations and data at a later stage.
Qualifications
- Studies in Management, Marketing or Business Administration or Life Science.
- Previous experience in similar roles, preferably in the pharmaceutical, healthcare, or multinational environment.
- Experience supporting senior executives is highly desirable.

- Excellent interpersonal and communication abilities (verbal and written).
- High attention to detail and confidentiality.
- Proactive and solution-oriented mindset.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent knowledge of the English language.
