We are seeking an HR Staffing Coordinator to join our organization. This position serves as the operational hub of the Healthcare Staffing team. This role manages provider onboarding, payroll coordination, timekeeping processes, and client communication to ensure smooth placements and timely payment.
- This position requires strong organization, attention to detail, and the ability to manage high-volume administrative processes in a fast-paced staffing environment.
- This position will be remote, must work on EST. 9am-5:30pm
- Hourly pay rate $25-$28/hour, depending on experience.
Responsibilities:Provider Onboarding & Compliance
- Manage end-to-end onboarding for healthcare providers
- Collect and validate required documentation for payroll and billing
- Ensure I9 compliance and proper identification verification
- Confirm provider clearance prior to start date with credentialing team
- Communicate onboarding expectations clearly to providers
- Coordinate scheduling and confirm start details
- Research placement information from various VMS Systems
Timekeeping & Payroll Support
- Obtain and track weekly timesheets
- Follow up with providers and clients to meet strict payroll deadlines
- Navigate varying timekeeping processes across facilities
- Identify and resolve time or billing discrepancies
- Partner with payroll to ensure accurate and timely compensation
Client & Recruiter Support
- Serve as primary operational contact for providers, recruiters, and clients
- Communicate regarding billing rates, time approvals, and assignment updates
- Address placement-related questions or concerns
- Support recruiters with documentation and administrative needs
Reporting & Tracking
- Maintain accurate records of active providers
- Track new starts, extensions, and terminations
- Update internal systems and portals regularly
- Prepare weekly operational reports for leadership
Required Qualifications:
- 2+ years experience in HR coordination or staffing operations from a staffing agency
- Bachelor Degree
- Experience managing onboarding for healthcare professionals highly preferred
- Experience with onboarding processes
- Exposure to payroll processes preferred
- Strong organizational and time management skills
- Ability to work under tight deadlines
- High attention to detail
- Proficient in Microsoft Office and email communication
- Strong written and verbal communication skills
- Process-oriented mindset with customer service focus
