This position is posted by Jobgether on behalf of a partner company. We are currently looking for an Executive Assistant. In this role, you will play a crucial part in supporting the Executive Leadership team with administrative responsibilities that facilitate their effectiveness and productivity. Your ability to manage schedules, coordinate travel, and handle communication will directly impact the efficiency of the executive team. Moreover, your organizational skills will enhance the overall office operations through managing local support tasks, helping to foster a collaborative work environment that drives success. Accountabilities

  • Manage the Executive Leadership team's calendar, scheduling meetings, appointments, and engagements.
  • Organize travel arrangements, including preparation of detailed itineraries and necessary documents.
  • Coordinate and schedule meetings with stakeholders, ensuring all necessary arrangements are made.
  • Handle correspondence and documentation related to Executive Leadership team meetings.
  • Draft and prepare responses to emails and communication as directed by Executive Leadership.
  • Assist in planning and organizing company events and meetings.
  • Prepare agendas for meetings and distribute them in advance.
  • Take accurate meeting minutes and document key discussion points and action items.
  • Follow up on action items to ensure deadlines are met.

Requirements

  • Exceptional organizational, time management, and multitasking skills.
  • Strong interpersonal and communication skills, both verbal and written.
  • Detail-oriented with a proactive approach to tasks.
  • Strong problem-solving and critical-thinking abilities.
  • Ability to manage multiple projects and deadlines.
  • Proficiency with Microsoft Office Suite and G-Suite.
  • High level of professionalism and confidentiality.
  • Strong desire for continuous learning.
  • Ability to work independently and as part of a team.
