About The Opportunity – Executive Assistant The Executive Assistant serves as a strategic partner to our executive team, providing high-level support in a fast-paced, fully remote environment. This role is critical to ensuring seamless operations, strong alignment, and effective engagement between executives and their internal and external stakeholders. We are looking for someone who is highly organized, proactive, and anticipates needs before they arise. This individual will manage complex calendars, coordinate travel logistics, and ensure day-to-day priorities run smoothly while adapting quickly to shifting demands. Beyond core executive support, this role offers the opportunity to take ownership of key programs and initiatives, including President’s Club, the Customer Advisory Board, and gifting and incentive programs. The Executive Assistant will play a meaningful role in driving execution, maintaining operational excellence, and supporting high-impact moments across the organization. As an extension of the executive team, this individual is expected to demonstrate exceptional judgment, discretion, and accountability while operating with a high degree of professionalism and adaptability. What You'll DoExecutive & Operational Support

  • Own complex calendar management, prioritization, and sequencing across internal and external stakeholders. Anticipate conflicts, propose trade-offs, and proactively re-sequence based on shifting business priorities.
  • Manage end-to-end travel logistics, including itineraries, accommodations, and ground transportation.
  • Process and reconcile expenses accurately and on time.
  • Prepare leaders for meetings by collecting agendas, pre-reads, and decks for the following day’s meetings.
  • Conduct intake with each ELT leader to understand support preferences and adjust approach per each leader, to understand working styles, decision preferences, and communication needs, continuously adapting support as leadership dynamics evolve.

Content & Deck Ownership

  • Collect, organize, and quality-check decks and materials for executive, leadership, and cross-functional meetings.
  • Build, maintain, and own decks for org-wide meetings (ex., ACMs, all minds, leadership forums), ensuring clarity, consistency, and strong narrative flow. Coordinate proactively with presenters.
  • Ensure all content for company meetings is collected, proofread, finalized, and distributed on time.

Change Management & Communications Enablement

  • Partner with leaders and People/Comms teams to collect change management communications and supporting materials.
  • Ensure timely distribution of communications to the right audiences, maintaining version control and message consistency. Coordinate and execute logistics in partnership with project leader(s).
  • Track key communications to ensure alignment across leaders and forums, flagging misalignment and proactively recommending corrections or reinforcement.

Board & Governance Support

  • Own the quarterly process for collecting, collating, and finalizing all board materials for their respective ELT members.
  • Ensure materials are complete, accurate, and delivered according to agreed timelines and governance standards.

Onsite & Relationship Enablement

  • Build curated look books and briefing materials for onsite meetings, travel, and executive visits.
  • Support leaders in preparing for meetings with new stakeholders by providing context, bios, agendas, and logistics.

  • Experience operating within a software organization is preferred
