About the Opportunity

The organization is seeking an experienced Executive Assistant to provide high-level administrative support to executive leadership. Reporting directly to the Chief Operating Officer with matrixed support to other senior leaders, this role is essential in protecting, prioritizing, and organizing executive time.


This is a full-time, remote-first position based in the United States.


Key Responsibilities

  • Manage complex, frequently shifting calendars for multiple executives, resolving conflicts and anticipating scheduling needs proactively.
  • Coordinate logistics, agendas, and materials for Executive Committee meetings, Board meetings, leadership offsites, and town halls.
  • Arrange detailed travel itineraries, including flights, lodging, and ground transportation, for executive trips.
  • Draft, proofread, and format correspondence, presentations, and reports on behalf of executive leadership, exercising sound judgment with confidential information.
  • Process and reconcile expense reports, invoices, and purchase requests in alignment with organization policy.
  • Serve as a primary point of contact between supported executives and leadership teams, Executive Committee members, Board members, regulators, and external partners.
  • Attend select leadership meetings to take notes, track action items through to completion, and follow up with stakeholders to maintain project timelines.
  • Partner with facilities and events personnel to execute team offsites and department events, including budget and vendor coordination.
  • Partner with executive support peers to align scheduling practices and provide backup coverage across the executive suite.
  • Maintain a high level of confidentiality and discretion with sensitive organizational information.


Required Qualifications

  • 5+ years of experience as an Executive Assistant supporting C-suite or senior executives.
  • Demonstrated ability to manage multiple complex, competing calendars and handle confidential and sensitive information with sound judgment and discretion.
  • Advanced proficiency with Google Workspace, Mac environments, and expense and travel management platforms.
  • Strong written and verbal communication skills, with the ability to represent executives professionally with Board members, regulators, and external partners.
  • Proven ability to build trusted working relationships with senior executives, Board members, and cross-functional stakeholders at all levels.
  • High degree of professionalism, initiative, and adaptability in a deadline-driven environment.
  • Ability to travel 6 or more times per year for in-person collaboration.


Preferred Qualifications

  • Experience supporting C-suite or senior executives within financial services or fintech.
  • Experience supporting executives within a regulated bank, credit union, or other depository institution.
  • Familiarity with Board and Board Committee meeting logistics, materials preparation, and governance practices.
  • Bachelor's degree.


Compensation and Benefits

  • Annual full-time starting base salary range: $87,000–$122,000.
  • Eligibility to participate in annual incentive and equity programs.
  • Starting pay is based on factors such as work experience, education, certifications, training, skills, and competencies related to the role.
