Job Overview
The Production Estimator & Procurement Coordinator plays a pivotal role in ensuring a seamless transition from Sales to Construction through accurate cost validation, detailed technical documentation, and proactive procurement and maintenance planning.
This role is primarily accountable for Production Estimating, taking over won projects from Sales and converting approved quotes into fully detailed, build-ready jobs with accurate take-offs, scope confirmation, and cost integrity. The role provides estimating support to Sales during peak demand or complex projects and processes procurement pricing to ensure alignment with approved budgets and delivery timelines. It also supports post handover maintenance coordination, feeding construction outcomes back into estimating to protect margin, improve accuracy, and strengthen future project delivery.
Key Responsibilities
- Production Estimating & Procurement Support
- Take over won projects from Sales and convert approved quotes into detailed jobs in the system.
- Complete full quantity take-offs and confirm scope against final contract documents.
- Define material, labor, and subcontractor requirements so Project Managers can plan and execute profitably.
- Complete handovers of finalized job set-ups to the system.
- Capture construction feedback post-handover and use it to correct issues and improve future production estimating.
- Review and validate Sales Estimates and Quotes for buildability, material selection,band cost accuracy.
- Develop Scope of Works breakdowns, and Material Take-Offs aligned with Client’s construction standards and approved designs.
- Collaborate with Sales Estimators to refine pricing strategies for complex or high value projects.
- Provide estimating assistance to Sales during peak demand or large tenders.
- Continuously improve estimating accuracy, documentation standards, and alignment between Sales and Production.
- Source best pricing for approved contract labor, equipment, and materials.
- Liaise with suppliers to ensure procurement aligns with project budgets and delivery timelines.
- Maintain and update the pricing library to reflect current market rates and approved supplier agreements.
- ETS management & Plan, schedule, and document maintenance activities in compliance with client agreements, manufacturer requirements, and statutory obligations.
- Systems, Compliance & Reporting
- Maintain accurate records and workflows in Nexvia, Hubspot and Bluebeam for estimating, procurement, and maintenance operations.
- Ensure materials, plant, and equipment meet compliance and safety requirements.
- Prepare reports on estimating performance, cost variance trends, and maintenance KPIs for leadership.
- Collaborate across divisions to improve efficiency, reduce rework, and enhance communication.
- Assist with sales estimating and technical pricing support as required.
Requirements
- Minimum 2 years of Australian construction experience and 5 years as a production estimator preferred.
- Comprehensive understanding of construction standards.
- Proficiency in Nexvia, Hubspot and Bluebeam.
- Strong analytical and estimating capability across construction materials, methods, and sequencing.
- Skilled in interpreting and producing shop drawings, take-offs, and scope documentation.
- Highly organized, process-driven, capable of managing concurrent estimating, procurement, and maintenance workflows.
- Effective communicator and problem-solver with strong supplier coordination and cost negotiation skills.
- Resilient and professional under pressure, particularly in client-facing or dispute resolution situations.
