About the Opportunity

The Project Coordinator role is central to the successful delivery of projects within the professional services group. This position ensures that project activities, resources, communications, and schedules are effectively managed to maintain momentum and accountability. The coordinator supports engineers, clients, and internal teams by organizing project documentation, facilitating communication, and aligning efforts with business objectives.

Responsibilities

Project Lifecycle Execution & Scheduling

  • Milestone Coordination: Coordinate and manage detailed project schedules, resource allocations, and critical performance milestones.
  • Stakeholder Communication: Serve as the primary operational point of contact to manage communications with customers, external vendors, and internal teams.
  • Meeting Facilitation: Structure and facilitate critical project milestones, including project kickoffs, routine status meetings, and post-project reviews.
  • Health Monitoring: Actively monitor project timelines, budget allocations, and overall portfolio health metrics to ensure on-time delivery.

Administrative Governance & Risk Management

  • Documentation Maintenance: Maintain clean and structured project records, baseline documentation, and necessary administrative tracking tasks.
  • Scope & Change Control: Manage incoming project change requests and ensure all adjustments to project scope are thoroughly documented and approved.
  • Risk Identification: Proactively identify project dependencies, operational risks, and bottlenecks that could threaten delivery timelines.
  • Engineering Support: Reduce administrative and operational coordination burdens for core engineering teams, allowing them to focus on technical delivery.
  • Systems & Reporting: Produce detailed project performance reports, update tracking dashboards, and systematically enter and maintain records within internal PSA (Professional Services Automation) and project management systems.

Qualifications

Experience & Systems

  • Tenure: 3 to 5 years of professional experience in project coordination, service delivery, or closely related operations roles (experience working within a Managed Service Provider (MSP) environment is highly preferred).
  • Technical Tooling: Direct experience utilizing enterprise PSA platforms and specialized project management tools.
  • Productivity Stack: Highly proficient navigating the Microsoft 365 ecosystem.

Core Competencies & Education

  • Project Toolset: Advanced skills in comprehensive project coordination, structural scheduling, customer relationship communication, change management, and risk identification.
  • Education: An Associate's or Bachelor's degree in Business, Information Technology, Project Management, or a related academic discipline is preferred.
  • Certifications: Professional project management certifications—such as Certified Associate in Project Management (CAPM), Project Management Professional (PMP), Agile, Scrum, or ITIL—are considered highly beneficial but are not strictly required.

Compensation and Benefits

Compensation

  • Base Hourly Rate: $25.00 to $33.00 per hour.
  • Variable Incentives: Eligible for a targeted annual incentive bonus structured around overall performance achievements.
