We aim to delight all our customers and are now looking for a Project Coordinator to support our Onboarding Team. As the first point of contact for onboarding projects, this role will support the successful delivery of projects through strong project governance and practices coupled with great engagement skills to keep projects moving forward. We are looking for teamwork, aptitude and attitude, alongside strong organisational skills, attention to detail and a willingness to learn. You will be expected to be proactive in a fast-paced environment, comfortable coordinating multiple workstreams and motivated by helping customers and colleagues stay aligned.
We Are Looking For Someone Who
- Is organised, detail-focused and confident supporting strong project governance by maintaining project plans, timelines and RAID logs;
- Can manage multiple projects liaising with stakeholders, tracking milestones, dependencies and actions to keep the project moving forward;
- Communicates clearly and professionally with customers and internal stakeholders, ensuring alignment with priorities and aims. Enjoys solving problems, and removing or navigating through challenges or blockers, but is equally comfortable escalating risks and issues in a timely, structured way;
- Remains calm under pressure and enjoys autonomy, whilst being curious, adaptable and comfortable learning new technologies, tools in a fast-paced SaaS onboarding environment; and
- Has demonstrable knowledge and experience of project management practices and methodologies, including agile practices, as well as the tools used to support delivery.
- Develop an understanding of our products, onboarding / project practices, how the business operates and how we engage with our customers;
- Manage a portfolio of projects as the main point of contact, you will arrange kick-off meetings with customers, setting the tone from the beginning, agreeing project scope, assigning ownership and accountabilities, drafting and maintaining project plans, including timelines and milestones, so that progress and priorities remain clear;
- Support delivery of other projects as necessary to ensure project activities remain aligned and move forward;
- Develop effective and lasting relationships with internal stakeholders;
- Follow strong project governance practices, owning project artefacts including plans, RAID logs, RACIs, meeting agendas and minutes. This will ensure that key information remains current, accurate and accessible to all stakeholders, and where necessary, matters are escalated timely and clearly; and
- Engage with everyone involved in the project, bringing stakeholders together throughout the project lifecycle to coordinate project delivery and support a positive and collaborative onboarding experience for all. Culminating in a seamless handover from onboarding to our Customer Success team.
Prior experience in a similar delivery role in a SaaS company is not a pre-requisite but could be advantageous. You may hold, or be working towards a project management qualification, such as PRINCE2.
An interest in governance, company secretarial work or how technology can help and improve ways of working including how customers manage entity data would be a bonus, but it is not essential.
We welcome candidates who are comfortable using and exploring AI tools, such as Claude or native agents within products such as Monday.com, to create process efficiencies.
Location
The role will primarily be home-based, but you should be willing and able to travel to London for a day on a monthly basis for team meetings. You may also be required to travel occasionally to London for collaboration meetings with cross-functional teams. You may also be required to travel to customer sites for face-to-face meetings, which would typically be ad-hoc and set up at the request of the customer.
