This role provides high-level administrative support to senior executive leadership within a fast-paced corporate environment. You will act as a key coordination point for executive operations, ensuring seamless calendar management, travel planning, communications, and meeting preparation. Working closely with multiple senior leaders, you will anticipate needs, resolve scheduling conflicts, and proactively support priorities across the organization. The position requires a strong sense of discretion, adaptability, and the ability to manage competing demands with precision. You will also contribute to preparing executive-level materials, tracking deliverables, and ensuring smooth day-to-day workflow for leadership teams. This is a highly trusted role where organizational excellence directly supports strategic decision-making at the top level. Accountabilities

  • Manage complex calendars for multiple senior executives, prioritizing meetings and resolving scheduling conflicts with sound judgment.
  • Coordinate internal and external meetings, including logistics, agendas, materials, and travel arrangements for participants.
  • Support executive communication needs by preparing presentations, reports, briefing documents, and meeting materials.
  • Handle end-to-end travel coordination, including booking flights, accommodations, transportation, and managing itinerary changes.
  • Process and reconcile expense reports accurately and in a timely manner, ensuring compliance with internal policies.
  • Screen and prioritize incoming requests, correspondence, and communications, directing them to appropriate stakeholders.
  • Proactively anticipate executive needs and address potential issues before they impact workflow or priorities.

Requirements

  • 5+ years of experience supporting senior-level executives in a large, complex corporate environment.
  • Proven expertise in managing executive calendars, travel arrangements, and high-volume scheduling with strong accuracy.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint; Excel preferred).
  • Experience working across multiple systems and tools simultaneously to manage administrative workflows efficiently.
  • Excellent organizational and time management skills with the ability to handle competing priorities under tight deadlines.
  • Strong written and verbal communication skills with a polished, professional executive presence.
  • High attention to detail with strong discretion in handling confidential and sensitive information.
  • Ability to work independently, remain composed under pressure, and anticipate leadership needs proactively.
