It’s not a simple problem. That’s exactly why it matters. About The Role We’re not hiring a deep finance expert. We’re hiring an AI-native Admin, Billing & Compliance Operations Manager — someone who makes sure every invoice, receipt, audit request, and admin deadline is tracked, followed up, organised, and delivered without needing constant supervision. You’ll be the sole person in this function, working closely with the CEO, CS Director and cross-functional teams, with real autonomy and full accountability. ResponsibilitiesFinance & Accounting Coordination

  • External Partner Liaison: Act as the primary internal contact for our external accounting firm and CFO, ensuring a seamless month-end close and accurate tax filings (VAT, IRPF, SS).
  • Financial Data Integrity: Oversee supplier payments and cash flow monitoring, ensuring all internal data is ready and validated for external reporting.

Billing & Revenue Operations

  • Own the full billing cycle: generation, validation, distribution and collection tracking.
  • Collaborate with CX and Sales on activations, renewals and commissions.
  • Proactively identify and resolve invoicing discrepancies.

Audit & Compliance

  • Audit & Compliance Coordinator: Serve as the internal lead for Information Security audits, coordinating evidence collection and process documentation for ISO 27001, DORA and ENS.
  • Operational Control: Bridge the gap between day-to-day operations and financial/legal requirements, ensuring internal systems and AI automations meet compliance standards.

Admin & Operations

  • Inventory (Barcelona-based), support People with onboarding/offboarding logistics, documentation, office logistics and team events.

AI & Automation

  • Experiment relentlessly, build and maintain automation workflows, pilot new tools, and turn efficiency gains into structural company assets.

RequirementsMust-have

  • Hungry by default: you proactively identify problems before they are flagged, juggle multiple workstreams without losing detail, and thrive working across teams.
  • 2+ years of experience in administration, operations, office management, finance admin, billing support, executive operations or similar.
  • Strong organization, attention to detail and follow-through. You are the kind of person who creates order from chaos.
  • Experience collecting, organizing and tracking invoices, receipts, expenses, supplier documents or similar admin documentation.
  • Comfortable coordinating with external providers such as accountants, tax advisors, auditors, consultants, suppliers or banks.
  • Ability to manage multiple deadlines, chase stakeholders and close loops without constant supervision.
  • Strong Google Sheets / Excel skills and comfort working with folders, trackers, checklists, SOPs and documentation systems.
  • Active daily use of generative AI tools such as Claude, ChatGPT, Gemini or similar, with concrete examples of how you use AI at work.
  • Hands-on experience or strong curiosity with automation tools such as n8n, Zapier, Make, Airtable, Notion or Google Workspace automations.
  • Full professional fluency in English and Spanish. Catalan is a plus.
  • Based in Barcelona metropolitan area.

Nice to have

  • Experience in a startup, scaleup, SaaS company, gestoría, consulting firm or compliance-heavy environment.
  • Familiarity with compliance frameworks or certification processes such as ISO 27001, ENS, DORA or GDPR.
  • Experience supporting billing, collections, revenue admin or supplier documentation processes.
  • Comfort with tools like Notion, Slack, Google Workspace, HubSpot/Salesforce, Holded, Stripe, Odoo or similar platforms.
  • Basic understanding of Spanish invoices, VAT, IRPF and expense documentation. Deep accounting or tax expertise is not required.
  • An operations-as-a-product mindset: you document, iterate and improve your own processes.
