Role
We are seeking a sharp, resourceful, and AI-native Executive Assistant to join the Office of the CEO at Ezra. This is not a traditional EA seat. The right person will serve as a true operating partner to the CEO — owning the systems, signals, and workflows that allow him to operate at maximum leverage.
You won’t just operate inside our systems — you’ll help design them. The Office of the CEO is actively building AI-native infrastructure to act as a force multiplier for the CEO, and the EBP will play a direct role in shaping how it gets built and used. This role offers a rare seat next to an entrepreneur building at the frontier of preventive health and AI, with significant room to grow in scope over time.
Day to day, this person will own a complex calendar, coordinate cross-functional communication, organize travel, and ensure the CEO’s time and priorities are aligned with the most important work across the organization. They will also regularly correspond on the CEO’s behalf with investors, board members, strategic partners, and advisors — and will need the written communication skills, professional judgment, and poise to represent the Office of the CEO with credibility in those interactions.
The EBP will work in close partnership with the Chief of Staff as a unified Office of the CEO operating unit — syncing on weekly calendar audits, preparing the CEO for meetings, executing on complex logistics, designing and improving OCEO workflows, and maintaining a single source of truth on the CEO’s priorities and commitments.

Key ResponsibilitiesManage calendar and schedule
- Own the CEO’s complex calendar, scheduling appointments and meetings across multiple time zones
- Coordinate with internal and external contacts to arrange commitments
- Prioritize and resolve scheduling conflicts, enforcing protected time blocks for deep work and strategic engagement
Handle communication with cross-functional teams and external partners
- Draft and manage correspondence on behalf of the CEO — including emails, Slack, sync requests, and scheduling coordination — with investors, board members, advisors, and strategic partners
- Act as a liaison between the CEO and other executives, board members, and external partners
- Screen and prioritize incoming communications
Coordinate business meetings and travel
- Arrange travel itineraries, including transportation, accommodations, and agendas
- Ensure prep materials are ready in advance of board, executive, and team meetings per the CEO’s review cadence
- Capture action items from key meetings and drive follow-through across stakeholders
- Cross-collaborate with other EBPs and EAs to plan offsites and events as we scale
Partner with the Office of the CEO
- Partner with the Chief of Staff on weekly calendar audits, meeting prep cycles, and priority alignment
- Maintain shared visibility into scheduling changes and commitments via dedicated channels
- Operate as a trusted extension of the Office of the CEO
Help build the OCEO operating system
- Identify the highest-leverage workflows to automate or augment with AI, and prototype them with the Chief of Staff
- Experiment with AI tools and async patterns to make the Office of the CEO more leveraged over time
- Document and improve repeatable workflows so the operating cadence compounds as the business scales
Administrative support
- Prepare reports, presentations, and other documents
- Manage and maintain records
- Oversee and assist with special projects as assigned
Qualifications / Skills
- 3+ years of professional experience in a fast-paced, operationally complex environment. Prior EA or executive-support experience is welcome but not required — equivalent experience in operations, recruiting, program management, or startup generalist roles will be considered.
- Comfort owning complex calendars and high-volume scheduling is required — whether you’ve done it formally in an EA seat or informally as part of another operational role.
- Genuinely excited about AI tooling and the leverage it creates — and equally clear-eyed about where AI falls short without human judgment, ownership, and taste. You’re an enthusiastic early adopter of tools like Claude, Granola, and Notion, and you have opinions about how to use them well.
- Proven track record of using AI tools to automate or augment real workflows — not just familiarity with the tools, but specific processes you've materially improved. You can articulate what you built, why it mattered, and where your judgment was still required.
- Strong instinct for prioritization. You can identify the highest-leverage move in a pile of competing demands and articulate why the others can wait.
- Exceptional organizational skills with a proven ability to manage multiple priorities under pressure.
- Strong written and verbal communication skills, with attention to detail. Clarity, conciseness, and professional tone are non-negotiable.
- High emotional intelligence, discretion, and sound judgment.
- Fluency in Google Workspace, Slack, Zoom, and other modern productivity tools.
- Ability to work independently, anticipate needs, and solve problems quickly. When something can be done today, it gets done today.
