About The Role

We are seeking a dedicated Payroll Specialist to join our team remotely and support our organization’s payroll processing operations. This entry-level role is ideal for a detail-oriented individual who is organized, discreet with sensitive information, and eager to develop expertise in payroll administration. The Payroll Specialist will primarily work within the Workday platform, ensuring that employee time sheets, data, and payroll records are accurate, complete, and submitted promptly. The role involves processing payroll data, reviewing employee timesheets, maintaining payroll records, and assisting with administrative tasks related to payroll functions. This position offers an excellent opportunity for someone looking to build a career in payroll and HR operations within a dynamic and supportive environment.

Qualifications

The ideal candidate will possess a combination of educational background and practical experience, including:

  • 1-2 years of experience in payroll, HR, accounting, or related administrative fields; internships or coursework related to payroll are considered.
  • High school diploma or equivalent required; an associate or bachelor’s degree in Human Resources, Business Administration, Accounting, Finance, or related fields is preferred.
  • Strong attention to detail and a high level of accuracy when handling large volumes of data entry.
  • Excellent organizational and time-management skills, with the ability to meet recurring deadlines.
  • Discretion and integrity in handling confidential employee and payroll information.
  • Clear and effective written and verbal communication skills.
  • Proficiency in Microsoft Office, especially Excel, to manage data analysis and reporting tasks.
  • Willingness to learn payroll regulations, wage and hour laws, and company policies.

Preferred qualifications include prior exposure to Workday or other HRIS/payroll systems and basic knowledge of payroll concepts such as gross-to-net pay, deductions, and timekeeping.

Responsibilities

  • Accurately enter and update payroll and timekeeping data within Workday according to schedule.
  • Review employee timesheets for completeness and accuracy, identifying and flagging missing or incorrect entries.
  • Monitor timesheet submission deadlines and proactively follow up with employees and managers to ensure timely submissions.
  • Assist in auditing payroll data prior to each pay cycle to identify and resolve discrepancies.
  • Maintain comprehensive and accurate payroll records, including tax forms, direct deposit information, and personal data changes.
  • Respond to routine employee inquiries regarding timesheets, pay, and payroll policies, escalating complex issues as necessary.
  • Support administrative tasks such as filing, document management, and record keeping for the payroll department.
  • Assist in year-end payroll processes, including W-2 preparation, in collaboration with other payroll team members.
  • Ensure compliance with company policies and applicable wage and hour regulations through adherence to established procedures.
  • Maintain strict confidentiality of all employee and payroll information at all times.

Benefits

Employees in this role will receive a competitive annual salary range of $40,000 to $50,000, commensurate with experience, location, and education.
