Virtual Assistant / Operations Support (Part-Time, Independent Contractor)
Eight Thirty Partners LLC is a boutique design and construction consultancy founded by two partners with nearly 20 years of experience together at Marriott International. We work on hotel, residential, and mixed-use projects, bringing an owner-side perspective to design, cost, and construction decisions.
As our business continues to grow, we are looking for a part-time virtual assistant / operations support professional to help manage day-to-day administrative and operational tasks.
This is a freelance, independent contractor (1099) role, not a full-time employee position.
Responsibilities
This is a broad, hands-on role supporting multiple aspects of the business:
Financial & Administrative
- Prepare and track invoices
- Manage expense tracking and reporting
- Assist with basic bookkeeping coordination (QuickBooks or similar)
Proposals & Documents
- Format proposals, reports, and client-facing materials
- Organize files and maintain document standards
- Assist with light editing and proofreading
CRM & Systems
- Maintain and update CRM (currently building in Go High Level)
- Track leads, contacts, and follow-ups
- Support ongoing system setup and organization
Email & Scheduling
- Manage inbox organization and prioritization
- Draft and respond to routine communications
- Coordinate calendars, meetings, and travel as needed
Marketing & Social
- Support LinkedIn posts and basic content coordination
- Assist with light website or marketing updates
General Operations
- Provide ad hoc administrative and operational support
- Help identify inefficiencies and improve workflows
- Take ownership of tasks and ensure follow-through
Qualifications
We are looking for someone who is:
Highly Organized & Detail-Oriented
- Strong ability to manage multiple tasks and priorities
- High level of accuracy and follow-through
Proactive & Resourceful
- Able to take initiative and solve problems independently
- Comfortable working without step-by-step direction
Strong Communicator
- Clear, concise written communication
- Professional and client-ready demeanor
Tech-Savvy
- Comfortable learning and using new tools quickly
- Experience with tools such as:
- Microsoft Office (Outlook, Excel, Word)
- CRM systems (Go High Level or similar)
- QuickBooks or basic bookkeeping tools
- Cloud file management (OneDrive)
Experienced in Similar Roles (Preferred)
- Prior experience as a virtual assistant, operations coordinator, or similar
- Experience supporting small businesses or consultants is a plus
Role Details
- Type: Independent Contractor (1099)
